Sealed quotations for technical & financial bids in separate covers are invited on behalf of the Chairman of Coffee Board from reputed firms for the AMC for the computers and peripherals in Coffee Board Head Office at Bangalore. TERMS & CONDITIONS OF THE ANNUAL MAINTENANCE CONTRACT FOR COMPUTERS AND PERIPHERALS AT COFFEE BOARD HEAD OFFICE, BANGALORE
1. The last date for submission of technical & financial bids is 19.11.2007 before 3.00PM. Along with the financial bid, EMD for an amount equal to 1/12th of the financial bid should be furnished. The EMD may be in the form of Demand Draft or Bankers Cheque payable at SBM, Dr. Ambedkar road branch, Bangalore – 560 001 in favour of Coffee Board General Fund A/c No.1. The term of contract is initially for a period of one year and may be extended for further period on satisfactory performance by the firm.
Tenders will be opened on the same day at 3.30 PM in presence of interested bidders on 19.11.2007.
2. The service provider should be a registered company.
3. The company should have previous experience of Annual Maintenance Contract of same nature with a large Govt., / Quasi Govt., / Public Sector / Private Sector. The details shall be furnished in the technical bid.
4. The company should be in a position to station an experienced permanent employee on their pay roll at the Coffee Board Head Office during office hours to undertake the said contract. The said employee should be aware of the software being used and the software required for efficient functioning of the systems in the Coffee Board. He / She should be qualified to guide the authorities in the Coffee Board on any updates in the software for better functioning of the existing systems.
5. The company should be in a position to provide alternate equipment for use in the Coffee Board Head Office on occasions of the equipment being carried out from the Coffee Board Head Office for repairs / services. The reason for major repair / servicing should be clearly spelt out by the firm under the contract and only on approval from the Competent Authority in the Board, the equipment should be carried out and the cost towards this would be considered by the Board only after verification from the Competent Authority.
6. Procuring genuine spares & consumables required for day to day functioning of the electronic equipments under contract, should be the responsibility of the firm under this contract. However the charges for spares & consumables would be borne by the Board on examination of the need for the item and the rates claimed by the firm.
7. Payment under this contract would be made on raising bills from the firm under the contract after verification of the services provided under the contract. Statutory recoveries would be deducted from the payments made to the firm.
8.The successful tenderer shall get into agreement with the Coffee Board on intimation of acceptance of the tender. The term of contract is binding on both the parties in the agreement made. However, the term can be either reduced or extended with mutual consent from both the parties. Any decision to part away from the contract should be after one months notice to the other party.
9. A separate list indicating the number of computers & accessories installed in the Coffee Board Head Office is annexed. The financial bid shall be made after ensuring the number and location of the systems under the contract. However, the list annexed is not exhaustive. Any additions will have to be under same contract for mutually agreed amount based on the rates quoted in the financial bid.
10.The annual amount quoted by the tenderer should be substantiated under a foot note in financial bid, by indicating separate rates for Computer monitors, CPUs, Printers, Servers etc., available in the Coffee Board Head Office, Bangalore.
